Job Title: Occupancy Planner & Lease Administrator
Key Responsibilities
Lease Administration & Documentation
- Maintain and update the lease administration database with all lease agreements, amendments, renewals, and related documentation.
- Abstract lease agreements and capture key information such as rent schedules, escalation clauses, renewal options, and termination rights.
- Ensure all lease documents are properly organized, stored, and accessible for reference and audit purposes.
Lease Tracking & Compliance
- Monitor critical lease dates including renewals, expirations, rent escalations, notice periods, and option deadlines.
- Ensure compliance with lease terms and conditions by coordinating with relevant stakeholders.
- Track landlord and tenant obligations and ensure timely execution of required actions.
Financial Coordination
- Review and verify rent payments, operating expenses, and other lease-related financial obligations.
- Assist in preparing lease-related financial reports and reconciliations.
- Support budgeting and forecasting for lease commitments.
Reporting & Data Management
- Generate reports related to lease status, upcoming critical dates, and portfolio performance.
- Maintain accurate lease data in lease management systems or IWMS platforms.
- Support lease accounting processes in coordination with finance teams.
Stakeholder Coordination
- Act as a point of contact for Global Real Estate team regarding lease information and documentation.
- Support with facts & figures to Global Real Estate Lead, and support him / her to Coordinate with landlords, property managers, brokers, and legal teams for lease-related matters.
- Assist with lease renewals, amendments, and negotiations by preparing documentation and summaries.
Key Responsibilities: Occupancy Planning
1. Strategic Space & Occupancy Planning
- Develop and maintain long‑term occupancy strategies based on business growth, hiring plans, hybrid work models, and portfolio objectives.
- Supporting Global Real Estate Lead for quarterly space planning cycle for business units.
- Recommend future space scenarios, consolidations, and restacks to improve space efficiency.
2. Stakeholder Leadership
- Act as the primary point of contact for Global Real Estate Lead & business leaders regarding space planning issues.
- Support Global Real Estate lead for all the strategic discussions with HR, Real Estate, Facilities, IT, and leadership teams.
- Support Global Real Estate lead to Translate business forecasts into actionable space plans.
3. Data Governance & Analytics
- Oversee the integrity of occupancy data across internal occupancy systems
- Deliver monthly occupancy dashboards, utilization insights, capacity forecasts, and scenario models.
- Notify Global Real Estate team lead about inefficiencies, risks, and opportunities using data‑driven analyses.
4. Move & Change Management Oversight
- Lead & Support planning of large-scale moves, restacks, and reconfiguration projects.
- Build communication plans, timelines, and change management approaches for workplace transitions.
- Ensure minimal disruption to business operations.
5. Workplace Strategy Execution
- Support Global Real Estate team for Implementing workplace standards, space policies, and hybrid occupancy models.
- Drive seat governance, desk sharing models, and activity-based workspace initiatives.
- Monitor workplace performance and recommend experiential improvements.
6. Team & Vendor Management
- Manage and mentor occupancy planners/analysts.
- Coordinate with external space planners, designers, or Computer Aided Facility Management vendors as needed.
- Oversee workload distribution and project delivery timelines.
Required
- 6–10 years of experience in occupancy planning, workplace strategy, or space management.
- Strong proficiency with Integrated workplace Management (IWPM) /Computer Aided Facility Management (CAFM) tools and AutoCAD.
- Expertise in interpreting utilization data, forecasting models, and creating scenarios.
- Exceptional stakeholder management and communication skills.
- Ability to lead large projects independently.
