Title:  Administrative Coordinator

As an Administrative Specialist you will provide administrative support to senior management for our Richardson, TX office.


Duties & Responsibilities:

  •  Provide reporting that includes updating of basic weekly/monthly business report
  •  Coordinate quarterly senior management meetings including managing hotel personal itinerary, business meeting room set-up, meal coordination, and travel arrangements.
  •  Prepare presentation material as directed based on knowledge of subject, procedures, and policies.
  • Support senior management with the creation of documents for PowerPoint, Word and Excel.
  • Submit travel expense reports on behalf of senior management. Work with IT on enhancements to further drive ease of use of the tools and streamline processes. Train new employees on expense reimbursement processes.
  • Coordinate international travel support including gathering and submitting information for visa application and expediting. Liaise with global entities on event planning agenda’s etc.
  • Record and issue minutes of key meetings.
  • Create EReqs and purchasing orders for office consumables, etc.
  • Tracking of teams actual expenses to budget.
  • Validation of expenses.
  • Coordinate events planning, and support for large meetings in the ART building.
  • Manage calendar for key meeting rooms.
  • Create and maintain spreadsheets, loading, budgets and others as assigned.
  • Back up receptionist during absences.


Skills Required:

  • Associates degree with 5 or more years related experience or a Bachelor’s Degree with 3or more years related experience.
  • Ability to function effectively both independently and collaboratively within a team environment.
  • Demonstrated organizational, work management, and group process skills, ability to take initiative to identify and propose new tasks and procedures. 
  • Ability to organize and publicize resources for shared use.  
  • Ability to establish and maintain working relationships with a diverse group of staff professionals.
  • Ability to manage time and prioritize tasks, producing quality products within tight time constraints.
  • Demonstrated experience in working on multiple priorities consecutively and sequentially and meeting quality standards for accuracy, attention to detail, and timeliness.
  • Attention to detail resulting in accurate, timely completion of work that contributes to the overall desired project outcomes of delivering quality products and services to clients.
  • Demonstrated knowledge and competence in the use of software applications: word processing, spreadsheet, presentation, email applications. 
  • Demonstrated administrative, organizational and work management skills.
  • Ability to take initiative to identify and propose new tasks and procedures.  
  • Communication skills and the ability to work independently and collaboratively as needed.
  • Demonstrated organization and time management skills used in an office setting.
